Executive Assistant — Shtrii Shakti –January 2018

The Executive Assistant enhances excecutive’s effectiveness by providing support to the Shtrii Shakti Chief Executive and to others. Written and Spoken Nepali and English are Essential to this Position

Duties:

  • Produces information by transcribing, formatting, inputting, researching and retrieving, transmitting, etc text, data, and graphics
  • Conserves Executive’s time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information, initiating telecommunications
  • Maintain’s executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
  • Represents the executive by attending meetings in the executive’s absence, speaking for the executive
  • Welcomes guests and customers by greeting them in person or on the telephone and answering or directing inqueries
  • Maintains confidence and protects operations by keeping information confidential
  • Completes projects by assigning work to clerical staff and following up on the results
  • Prepares reports by collecting and analyzing information
  • Secures information by completing database backups
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions when appropriate
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, and verifying receipt of supplies
  • Ensures operation of office equipment by completing preventative maintenance requirements, following manufacturer’s instructions, troubleshooting malfuntions, calling for repairs, maintaining equipment and techniques
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing professional networks, participating in professional societies
  • Contributes to team effort by accomplishing related results as needed

Skills and Qualifications:

The successful applicant will possess writing skills, reporting skills, supply management skills, scheduling skills, organization and time management skills, high level verbal communication and professional presentation skills, basic office equipment maintenance skills, and will be Microsoft Office proficient and travel logistics capable.  Previous Executive Assistant experience is preferred, but not necessary.

Regular Tasks will include:

  • Managing the day-to-day operations of the office
  • Organizing and maintaining office-wide shared files and records
  • Organizing and maintaining Executive Director’s individual professional files and records
  • Planning and scheduling meetings and appointments
  • Assisting in managing projects and conducting research
  • Preparing and editing correspondence, reports, and presentations
  • Making travel and guest arrangements
  • Providing quality, polite, customer service to collaborators and community members
